Tender Description:

1.Project Brief:

Tbilisi Hills building the new residential compound, consisting of three multistory buildings. Two of the buildings are identical, one has slightly modified shape of the atrium. Tbilisi Hills is tendering interior design services for the main lobby and atrium public spaces for this building. Main lobbies should be identical for three buildings. The aim is to create inviting, functional, and visually impactful areas that enhance user experience for residents, visitors, and tenants, reflecting the building’s identity and supporting its operational needs.

The interior should be budget oriented, without compromising the aesthetics. The design should be contemporary, integrating materials which are durable, easy to clean and maintain. Ventilation, heating and cooling systems should be planned in the atrium space. Design language should be cohesive across lobbies and atriums. The interior design for each building lobbies and atriums can be slightly adopted to match the atrium façade accent colors. FF&E should be ergonomic. Atrium furniture should be fixed. Planting in atrium should be design with integration of building irrigation system, specifically designed for atrium.

It is important to consider all existing structural and façade elements of the building, as these elements will not be modified. The structural seems should be considered in the atrium floors and ceilings, with necessary expansion joint systems integrated into flooring and ceiling designs. 

It is also important to note, that atrium MEP should be connected to building solar panel systems, including connections of HVAC systems to solar power.

2. Description of Works:

Conceptual design, schematic design, and detailed design for all interior public areas within the lobby and atrium zones (including but not limited to: entry vestibule, main lobby, atrium, seating/waiting areas, decorative features, and integrated art/decoration installations).

Selection and specification of all interior finishes, furniture, fixtures, equipment (FF&E), and decorative lighting.

Integration and coordination with existing building structure and systems (lighting, HVAC, signage/wayfinding, security), architectural elements, and any existing or planned works.

Production of all necessary documentation for procurement, construction, and installation.

3. Deliverables by Stages:

Stage 1: Concept Design

  • Site assessment and user needs analysis
  • Mood boards and narrative (design vision, material palettes, color schemes)
  • Zoning and preliminary space planning layouts
  • 2-3 design concept options (presented visually and in written form)
  • nitial budget estimate to compare presented options

Stage 2: Schematic Design

  • Refined floor plans, elevations, and key sections
  • 3D visualizations/renders of main public spaces
  • Preliminary selection of major finishes, lighting, FF&E
  • Outline specifications and BoQs
  • Updated cost estimate

Stage 3: Detailed Design

  • Detailed layout drawings, elevations, sections
  • Detailed finishes and materials schedules and BoQs
  • Detailed lighting and reflected ceiling plans (RCP)
  • Furniture, fixtures, and equipment (FF&E) schedules and specifications
  • Wayfinding/signage concept integration
  • Mechanical systems design (HVAC, ventilation).
  • Electrical systems design (lighting, power distribution, data cabling).
  • Plumbing systems design (water supply, drainage for atrium plants).
  • Coordination with architectural, MEP, structural designs and fire safety drawings to ensure seamless integration of all existing systems (CCTV, fire safety systems, like sprinklers, smoke detectors, signage and lighting should be integrated in RCPs)
  • ntegration of building solar power system into MEP design.

Stage 4: Tender/Construction Documentation

  • Full set of coordinated construction drawings for tendering and implementation
  • Detailed specifications for all finishes, FF&E, and special features
  • Bill of quantities/schedule of finishes and FF&E
  • Coordination with Tbilisi Hills procurement team

4.       General Requirements

  • All designs must comply with local codes, accessibility, and fire/life safety regulations.
  • Regular coordination meetings with the client and project team.
  • Provision of digital (CAD, BIM, PDF) and hard copy deliverables is required.

Qualification of bidders:

Bidder shall be company with the proof record of minimum 3 years’ experience in design works. 

The tender proposal shall contain the following information:

  • Company name, identification code, legal and actual address, official e-mail;
  • Name of at least 2 (two) contact persons, indicating their contact telephone number, e-mail address, and position within the company;
  • A certificate from the LEPL Revenue Service that bidder has fulfilled all obligations and has no debt to the state budget;
  • Payment terms, incl advance % if any
  • Execution time for all stages.
  • Price roposal for all requested stages.
  • A list of earlier performed projects with the brief description of provided services, indication of total price;
  • Designer`s portfolio
  • Copies or originals of Recommendation letters from two different clients issued over the past three years.
  • Information/CV/Portfolio of key personnel who will be involved in design process.

All provided documentation should be in English

Proposal:

  • Tender documents shall be submitted no later than 11 of July, 2025, at 18.00 (Georgian time)
  • Tender documents shall be submitted in hard copy (1 copy) and electronically (hard disc). 
  • Tender documents shall be delivered in a sealed envelope and approved with a signature at Tbilisi Hills head office. 
  • A hard copy of the bidding documents shall be certified with the signature of the director of the company and the seal of the company (if any).
  • The proposal shall be valid and binding for Contractor for 180 calendar days from the date of submission.
